What is Scheduling?

Scheduling pages let people book meetings directly on your calendar. Instead of going back and forth over email to find a time, you share a booking link and let people pick a slot that works for both of you. OrbitForms automatically checks your calendar for conflicts, respects your availability rules, and sends confirmation emails to everyone involved.
Book meetings right after a form submissionFlow forms can show a scheduling page directly on their thank-you screen — respondents book without leaving the form, with their name and email prefilled from their answers. See Show a Scheduler After Submission.

Scheduling Page Types

One-on-One

A single host with one booking calendar. Perfect for personal meetings, demos, and consultations.

Group

Multiple hosts visible on the page. Visitors can choose which person to meet with from the team.

Round Robin

Automatically assigns each booking to a team member — either the one who’s gone the longest without a meeting or a random available member.

Prerequisites

Before creating a scheduling page, make sure you’ve connected your email and calendar accounts.
Connect your calendar firstScheduling requires a connected Google calendar to check availability and create events. Microsoft calendar support coming soon. Head to Email & Calendar Setup to connect your account.

How It Works

  1. Create page — Set up your scheduling page with meeting details
  2. Set availability — Define when people can book with you
  3. Share link — Send your booking URL or embed it on your site
  4. Meetings booked — People pick a time and it’s added to your calendar

Send an invite from a contact or deal

You can book on a prospect’s behalf from inside Orbit. Open a contact or deal record and click Book meeting:
  1. Your own published booking page is pre-selected, along with its event type. Switch to another team page if you need to.
  2. Pick a date, then either one of the offered times or a specific time you agreed with the prospect. Orbit still checks the host’s calendar, so you never double-book.
  3. Give the invite a title (the default is “Meeting with” followed by the contact’s name), add notes or extra guests, and click Send invite.
The event is created on the host’s connected Google or Microsoft calendar, which sends the calendar invite to the prospect and any guests. The meeting shows up on the contact’s record and under Meetings. The booking page’s host needs a connected calendar (Settings → Email & Calendar). To send a booking link instead, open the email composer on a contact record and use the Booking link menu to insert a link to any published page.
