What the Inbox Shows

The Inbox lists your email conversations with contacts, newest activity first. A conversation groups:
  • Emails you sent from Orbit (a contact record’s Email tab, the Inbox itself, or a sequence)
  • The replies to them, which come straight to Orbit
  • New emails from contacts, forwarded in from your mailbox
  • Emails you sent from Gmail or Outlook and BCC’d to your Orbit forwarding address
Each conversation shows who it is with, the subject, the latest message, and a green dot when the last message came from the contact. Open one to read every message in order and reply at the bottom. The list refreshes itself while the tab is open.
Replies to emails you send from Orbit arrive here on their own. Emails contacts start themselves reach the Inbox only when your mailbox forwards to Orbit. See Replies and Email Forwarding.

Reading a Conversation

Messages from the contact sit on a shaded background; yours on white. Each message shows the sender, the recipients, the time and, for emails sent from Orbit, the delivery status (Delivered, Opened, Replied). Two badges can appear on a received message: Remote images are not loaded until you press Load images, so a tracking pixel does not fire just because you opened the message.

Replying

The reply box answers the latest message in the conversation. Press Reply on an earlier message to answer that one instead. Replies go out from your sending address on the workspace’s verified domain, carry the threading headers the contact’s mail client expects, and are saved to the contact’s record as sent emails. Like every email sent from Orbit, they carry an Orbit reply address, so the contact’s answer comes back to this conversation. Replying needs a verified sending domain (Settings → Sending Domain) and editor access. Viewers can read but not send.

Whose Conversations You See

The Inbox is yours. It shows the conversations from your own mailbox (mail you forwarded or synced, and the emails you sent from Orbit), the conversations teammates assigned to you, and mail to your workspace’s team address. Nobody sees a teammate’s own mailbox in the Inbox, admins included, and the email access your admin sets (Settings → Members → Record access → Emails) applies to the emails on contact records, not to the Inbox. Mail your team handles together, like sales@ or support@, belongs on the team address: forward that mailbox to it (Settings → Inbound Email → Team inbox) and its conversations show to everyone who can see the contact, unassigned or round robin, until someone takes them. Mine lists what is assigned to you, Unassigned what nobody has taken yet, and All everything you can see. If your record access is limited, you only see conversations with contacts you are allowed to see.

Contact Records

The same conversations appear on each contact’s Email tab, with the composer on top, and as emails on the contact’s activity timeline. Company and deal timelines show the headline of each email too.

Settings

  • Save emails from contacts (per mailbox, Settings → Email & SMS → Mailbox forwarding): turn off to stop storing forwarded mail. Replies to emails sent from Orbit are always kept.
  • Unknown senders, Ignored addresses and the Inbound log (workspace, Settings → Inbound Email): see Replies and Email Forwarding.
