Roles Explained

Custom roles

Under Settings → Roles, admins create roles of their own on top of the three built-in ones. A custom role is based on Admin, Editor or Viewer, which decides everything outside the CRM (forms, workflows, sequences, settings, API keys), and then chooses, for contacts, companies, deals and tasks, who may view, create, edit, delete, bulk edit, import and export. Roles based on Viewer can only view and export. Admins can only create or hand out roles whose permissions they hold themselves. The permissions apply everywhere: in the app, through the API and over MCP. Exports also follow the workspace’s export setting.

Managers

In Settings → Members → Role and manager, set who each member reports to. A manager whose record access is limited to their team’s or their own records also sees, and with Edit changes, the records of everyone who reports to them, directly or through others.

Emails

Record access has a fifth row, Emails, that goes by who is on the email rather than who owns the record it sits on. Everything shows every email logged in the workspace. Their team’s shows the emails that they, anyone on a team they belong to, or anyone who reports to them sent, received or were copied on. Only theirs shows the emails they sent, received or were copied on, plus, for a manager, those of the people who report to them, as with every other scope. It covers emails on contact, company and deal records, emails sent from Orbit, Inbox conversations and files attached to an email, in the app, through the API and over MCP. Emails nobody in the workspace is on (imported history of people who have left) show under Everything only. Each member can also keep their own email private: under You → Email & SMS → Who can see your emails, choose Only me and every email they are on (sent, received or copied on, imported history included) is hidden from everyone else, admins included. Teammates on the email with them still see it.
